Project Task Summary Report (PTSR) (Requires MS Outlook & MS Project 2003, 2007, 2010; professional, and server)
The PTSR reports serve one primary purpose --- to communicate a detailed status report for project tasks targeted to the individual that is assigned to work the task. Specifically, it helps to make sure that tasks that are scheduled to start do in fact start on time as well as make sure that tasks that are scheduled to finish do in fact finish on time. PTSR helps in the following ways:
- On a daily basis informs management and staff of any task slippage in starting or finishing that could jeopardize the project
- Facilitates identification of task, therefore project, slippage in as little as one day after occurrance.
- It is a tool that helps to ensure that management and staff have a common understanding of task priorities and status
- Since the information is sent by eMail, a permanent record is created
- Reduces those lower priority meetings that get in the way of getting the job done
- All reports are customized specifically for each of the staff members
- The reports are designed to assist the staff in prioritizing their upcoming tasks
- The reports are created by interrogating the MS Project file and then automatically sending the emails; this typically takes less than 3 minutes
- The reports are automatically sent to the staff and the Project Manager. Other individuals can be added as cc: or bcc: (e.g., CIO's, QA, IV&V, team leads, etc.)
- Finally, there are daily, weekly, and monthly reports
